When Does It Make Sense to Outsource Your Apple IT Management?

Hiring an internal Apple IT admin is expensive and hard. But not every business needs a full-time person — here's how to think through whether outsourcing MDM management is right for your team.

For a lot of growing businesses, the Apple device management question comes up at an awkward time — usually when something breaks, or when headcount grows fast enough that managing devices individually becomes unsustainable.

At that point, there are two paths: hire someone internally, or bring in an external specialist. Neither is always right. Here's how to think through it honestly.

The Case for Internal Hiring

Hiring a dedicated Apple IT admin makes sense when:

  • You have 100+ devices and growing rapidly
  • Devices are heavily customised per role, requiring constant policy changes
  • You have compliance obligations (SOC 2, ISO 27001) that require in-house control and daily oversight
  • Security incidents need immediate response and response time matters in minutes, not hours

For organisations at this scale, the cost of a dedicated Apple admin (€60–90k in Ireland, similar in GCC with local market adjustments) is justified by the workload.

The Case for Outsourcing

For the majority of businesses under 100 devices — and many up to 200 — outsourcing Apple IT management is more cost-effective and frankly produces better results:

1. You Get Specialist Expertise, Not Generalist IT

A general IT hire will know a bit of everything. An Apple-specialist MDM provider knows Jamf, ABM, macOS, and iOS deeply. For businesses where Apple management is a specific need rather than a full-time role, specialist depth beats generalist breadth.

2. Setup and Configuration Is a One-Time Investment

The heavy lifting in MDM is the initial setup: connecting ABM, configuring Jamf, building enrollment workflows, and establishing a security baseline. Once that's done, ongoing management is relatively lightweight — periodic policy updates, new device enrollment, and occasional troubleshooting.

An internal hire costs the same whether there's work to do or not. A managed service scales to what's actually needed.

3. Continuity Across Staff Changes

Internal IT staff leave. When your only Apple admin resigns, you're left with institutional knowledge walking out the door. An external provider maintains documentation, continues service without interruption, and doesn't need a knowledge-transfer period.

The Hybrid Model

  • Apple Business Manager setup included — ABM is foundational; a provider who skips this is cutting corners
  • Clear documentation — You should always have visibility into what's configured and why
  • Responsive support — Device issues affect productivity; response time matters
  • No lock-in — Good providers document everything clearly so you could move elsewhere if needed
